SINEDIS Personal Data Processing Policy

1. General Provisions

This Policy describes the processing of personal data by SINEDIS Spółka z ograniczoną odpowiedzialnością in connection with insurance intermediary services, preparation of insurance quotations, conclusion of insurance agreements, customer support, and marketing communications.

Personal data is processed in accordance with Regulation (EU) 2016/679 (GDPR / RODO), as well as applicable legislation of the Republic of Poland and the European Union.

2. Data Controller

The controller of personal data may be the insurance undertaking that provided the insurance quotation and with which the user concluded an insurance agreement through SINEDIS.

4. Sources of Data Collection

Personal data may be obtained from the following sources:

  • contact forms on the websites sinedis.pl and greencard.agency;
  • insurance premium calculation forms;
  • applications submitted through the office, employees, or contact centre;
  • insurance agreements arranged through SINEDIS;
  • communication via e-mail, telephone, and social media;
  • cookies and browser technical data;
  • complaints and other user requests.

5. Categories of Processed Data

Depending on the purpose of processing, SINEDIS may process:

  • first and last name;
  • residential and correspondence address;
  • telephone number;
  • e-mail address;
  • date of birth;
  • vehicle-related information;
  • insurance history information;
  • information regarding insurance agreements;
  • payment information;
  • data necessary for insurance risk assessment;
  • technical data and cookies.

The scope of processed data depends on the specific service and insurer requirements.

6. Purposes of Data Processing

Personal data is processed for the following purposes:

  • preparation of insurance quotations;
  • comparison of offers from different insurers;
  • conclusion and administration of insurance agreements;
  • reminders regarding policy expiry or payment deadlines;
  • handling applications, complaints, and requests;
  • compliance with legal obligations;
  • ensuring service security;
  • marketing of insurance and financial services;
  • sending commercial and marketing information where the user has provided consent.

7. Legal Basis for Processing

Data processing is carried out on the basis of:

  • performance of a contract or steps prior to entering into a contract;
  • compliance with legal obligations;
  • legitimate interests of the controller;
  • user consent — in particular for marketing communications.

The user may withdraw consent at any time.

8. Profiling

SINEDIS may use profiling for marketing purposes in order to select the most appropriate insurance offers.

Profiling is not carried out entirely automatically — a company employee is always involved in the process.

9. Transfer of Data to Third Parties

Personal data may be transferred to:

  • insurance undertakings;
  • insurance agents and business partners;
  • IT contractors and hosting providers;
  • marketing agencies;
  • public authorities where required by law;
  • law enforcement authorities, courts, and other authorised entities.

Where the user has provided consent, the e-mail address may be used for personalised advertising through Meta, Google, or Microsoft services.

10. Transfer of Data Outside the EEA

SINEDIS does not transfer personal data to recipients outside the European Economic Area unless required by law or based on data protection mechanisms compliant with GDPR.

11. Data Retention Period

Insurance quotation data is retained for up to 3 years.

Data relating to insurance agreements arranged through SINEDIS may be retained for the duration of the agreement and additionally for up to 4 years after its expiry for the purposes of handling claims, complaints, loss adjustment, and compliance with legal obligations.

Marketing data is retained until consent is withdrawn or the purpose of processing ceases.

12. Requirement to Provide Data

Providing personal data is voluntary.

However, without the data required for premium calculation and conclusion of an insurance agreement, it is not possible to provide an accurate insurance quotation or issue a policy.

13. User Rights

The user has the right to:

  • access their personal data;
  • rectify inaccurate data;
  • request deletion of data;
  • restrict processing;
  • object to processing;
  • transfer data to another controller;
  • withdraw consent;
  • lodge a complaint with a supervisory authority.

Requests are handled without undue delay, usually within 30 days.

The user has the right to lodge a complaint with the Polish data protection authority:
